Privacy Policy

1. Data We Collect

When you use SayWhat, we may collect:

Account information (email address, role)
HOA documents you upload (stored securely per community)
Questions you ask and the answers returned
Usage data (session timestamps, query counts) for billing and reliability

2. How We Use Your Data

To provide the document chat and governance features
To enforce per-community data isolation
To calculate usage against plan limits
To improve the quality of answers (aggregate, anonymised signals only)

We do not sell your data or use it for advertising.

3. Data Sharing

We share data only with the third-party services required to operate SayWhat: cloud infrastructure providers (hosting, storage), OpenAI (for AI-generated answers), and Stripe (for billing). Each provider is subject to its own privacy policy and data processing agreement.

We do not share tenant data across communities. Each HOA's documents and member data are strictly isolated.

4. Data Retention

Tenant data (documents, messages, user accounts) is retained as long as your subscription is active. Upon cancellation, data is deleted within 90 days unless a longer retention period is required by law.

5. Your Rights

Board administrators can export or delete community data via the admin dashboard. Individual users can request deletion of their account by contacting us at privacy@saywhat.tech.
